Florida Natural Flavors is a beverage manufacturer specializing in hospitality industry products, including resorts, theme parks, hotels, and restaurants. Established in 1983, the company began with proprietary formulations managed through contract packers and transitioned into manufacturing in 1989. SELECTION

After two decades of using Bev Pro, built on the Progress database, Florida Natural Flavors needed to modernize. Their software—initially designed for citrus processing—was outdated, lacked support, and couldn’t keep up with evolving business needs. “My server was still running Windows 2008,” said Mark Wilkinson, who oversees IT and infrastructure. “We knew if it crashed, it would be a nightmare. It was time to upgrade.”
The company had begun using QuickBooks for accounting but continued relying on the old production and inventory management system. The lack of integration created inefficiencies. As the system was not ERP in the modern sense and wasn’t correctly implemented, many tasks had to be handled manually, including tracking of ingredients, costing, and lot traceability.
Florida Natural Flavors looked at various systems, including Oracle and Odoo. “I would spend hours online just going through every system out there,” stated Wilkinson. “And everything kept going back to Batchmaster.”
Ultimately, they chose BatchMaster ERP integrated with QuickBooks for its ability to manage recipes, inventory, production, and costs while allowing them to retain the financial software they already knew and trusted. They had considered BatchMaster years earlier and were happy to find it remained a strong, reliable ERP with features tailored to their needs.

Florida Natural Flavors Anticipates Significant Improvements in Accuracy and Efficiency

One of the company’s top goals is to reduce manual processes. Batching sheets and cost calculations are done by hand, and lot number tracking is a time-consuming, error-prone manual task.
“With the pricing of the ingredients, our understanding is that Batchmaster will segregate those prices and into our batch so we can price this out properly without any loss,” stated Garry Erdman, Vice President. “If we yield 1000 gallons, it’s going to be a true price, which will give us a true price on the actual yields.”

LOOKING AHEAD

Though the team acknowledges a learning curve, they see long-term value in modernizing their systems. “The current program is hard to navigate. New hires struggle with it. We’re hoping BatchMaster’s modern interface will be easier to use and reduce training time,” said Wilkinson.
Erdman added, “New hires should be able to learn rapidly. Versus day-in and day-out training on navigating all the windows to get from point A to Z. We’re hoping BatchMaster will eliminate all those processes. So people can do their work more efficiently and accurately.”
They are currently in the early stages of implementation, with training already completed and the project moving forward smoothly. “We’re loyal,” Wilkinson added. “We were with our last system for 20 years. If BatchMaster does what it’s supposed to do, we plan to be with it for the next 20.”

Challenges

The food distributor and manufacturer faced significant operational challenges. It used QuickBooks but needed help with tracking inventory, costing, and overall visibility into its production processes. Upper management at TeaAroma recognized the company’s need for an ERP system.
Senior Accounting Manager Logan Moon’s experience with Fishbowl and NetSuite made him the ideal candidate to guide them through the selection process. When Moon joined the company, it wasn’t using key metrics, like how much raw material was used at any given time. Decision-making was complex due to the lack of precise data, and manual calculations for production processes were time-consuming and prone to error.
The company needed an ERP solution to address these pain points, which could provide the functionality that QuickBooks lacked, such as batch processing, lot traceability, industry-specific compliance, and packaging management. They also wanted their ERP to integrate seamlessly with QuickBooks, which they wished to retain because of its familiarity and ease of use.

Solution

With three critical criteria—finding a web-based, food industry-specific ERP system that can integrate with QuickBooks—Moon began searching for a suitable ERP from three options: Fishbowl, Wherefour, and FoodLogiQ. They also looked at NetSuite and SAP.
While Fishbowl was familiar to Moon, it didn’t have a web-based solution, was light in its manufacturing capabilities, and didn’t specialize in the food manufacturing industry. Moon didn’t like Wherefour’s limited costing and calculation methods, and it didn’t have industry-specific food manufacturing features. And FoodLogiQ had limited costing capabilities.
Moon looked at the records from a previous ERP search TeaAroma had records from and saw SAP, NetSuite, BatchMaster, and other options. After talking to each company and seeing their demos, he eventually narrowed it down to three choices, with BatchMaster as the clear leader.
BatchMaster was web-based and stood out for its ability to handle complex food production needs, including BOM processing, lot tracking, and quality control, all of which were critical for the business. TeaAroma imports and exports goods, produces roasted nuts, and repackages beans and rice onsite. BatchMaster could handle all of its order processing plus production.
It also had many explosion features that allowed the company to track costs across its processes in detail, which the company loved. Notably, BatchMaster’s integration with QuickBooks enabled real-time data transfer whenever an order closed, eliminating the manual data entry that was causing them delays and errors.
When Moon presented his findings, TeaAroma’s upper management group agreed with his choice of BatchMaster ERP.

Now that BatchMaster is deployed, the company is much more efficient, spending less time understanding its production costs. Moon has noticed a significant difference in reduced time spent to obtain accurate information.
“Now, when customers ask us, do you have this much for purchase? We can give them an answer right away,” explained Moon. “Before BatchMaster, it would take us one to two days to figure out.”

They now have real-time insight into inventory levels and raw materials, which was previously impossible with QuickBooks alone. At the end of each quarter, they used to have to walk the warehouse and count everything, then calculate from whatever the last count was. It was time-consuming and inaccurate, and there was no way to audit.
With BatchMaster, TeaAroma ensures its inventory is always correct so staff can confidently answer customer inquiries immediately.

BatchMaster’s ability to track costs at every stage of the production process has been invaluable, particularly for its nut roasting, where moisture and oil loss can affect the final product weight.
Peanuts are purchased in 44,000-pound batches and sent out for blanching. When they return, there is another weight difference. BatchMaster can indicate any weight changes and factors in landing costs or other expenses to estimate the cost of goods sold accurately. “BatchMaster’s costing features are a game-changer for us,” stated Moon. “In food production, every ounce of weight loss during roasting affects the final product’s cost. Now, we can track it all down to the smallest detail.”

Improved Decision-making

Reports that used to take hours to compile manually are now generated quickly and with greater accuracy, allowing decision-makers to know what inventory to buy and when and how to price goods sold, which helps them improve customer satisfaction. Real-time information is immediately at their fingertips. “We’ve got the data we need to price competitively, Moon stated. “BatchMaster’s ERP system has been instrumental in helping us streamline our operations to grow faster.”

Located within the historic Pike Place Market in Seattle, Washington, Michou Deli uses locally sourced fresh ingredients to make an amazing array of deli goods, including over 100 different salads. With customer variations, they have almost 3,500 line items that can be ordered. Michou Deli sells its products in local supermarkets, as well as its own retail outlet. They have the flexibility to make speciality food items for specific customer requests.
Michou Deli runs 2 different processes to support their wholesale and retail businesses because they have vastly different requirements:
Direct-to-end-user selling requires an eCommerce solution integrated into the manufacturer’s website. It simply needs to record orders, take payment, and move the order to the ERP system for processing and dispatch.
Wholesale-only selling requires much more. The system is not visible on the website but does need to be a web-based solution. Wholesale customers need access to a considerable amount of information about their orders, especially as they are typically placing two or more orders each and every day.

Michou Deli Uses Customer Portal Module to Manage Its Wholesale Business

Michou Deli needed software that allowed customers to place orders on-line, then have these orders processed by their current manufacturing software application. Since Michou Deli already employs BatchMaster Manufacturing application to manage their HACCP- operated kitchen operations, Michou Deli decided to add the Customer Portal module to provide the means of managing their wholesale business.
BatchMaster’s Customer Portal module supports Michou Deli’s high-volume transactions and is available to their customers 24/7. Each customer can see only their own data. They can customize their view of that data to suit themselves, and even have it branded with their own corporate identity. The Customer Portal module provides what wholesale customers need – the ability to view historical transactions, review quotes, place orders online, track shipments, print and/or download paid and unpaid invoices. The portal’s ease of use features includes the facility to search, filter, sort, and group data records. Users can also customize the data view by showing/hiding columns in the data grid and saving their preferences for future use. The module is deployed in a secure cloud environment and has real-time integration to the BatchMaster Manufacturing application is real time.
The Customer Portal Module is integrated to Stripe, the international payments infrastructure for the internet, allowing the system to accept payments and send pay-outs. Full Credit Card and ACH payments are available.

Metarom started producing their signature caramels in 1953 and has been expanding their product lines to include a variety of flavors, extracts, functional ingredients, and vanilla bean ingredients used by food and beverage producers. Metarom USA was founded in 2017 to serve the North American market. As part of the Metarom Group, the US division enjoys global collaboration, supply chain optimization, and a wealth of market insights from every corner of the world.
Today, Metarom employs the native cloud-based, manufacturing application, BME Web, from BatchMaster Software to streamline and scale up operations, while complying with industry regulatory mandates.

Challenges

Metarom employed three disparate applications to run their operations. One of these, the R&D application, properly supported formulation, however, it did not take into account inventory availability when generating batch tickets to the floor. Specifically, the expiration dates of ingredients were not managed, therefore the quality team had to test the ingredients before using them in production, which incurred additional labor costs, time, and caused potential delays in production and order fulfillment.

From an inventory management  perspective, plant workers did not know the specific locations in which raw materials, and finished goods were stored or sorted. This lack of visibility led to increased labor costs and time to search for the needed inventory, which further delayed processing and order fulfillment.

Metarom develops customized flavor profiles and therefore needed a solution to support their customer specific requirements, from performing QC tests on their Kosher and organic certified products, to generating customized COA reports. In additions, the solution needed to comply with ever more stringent regulatory mandates set forth by the GHIS/FDA/SQF and GHS/SDS organizations.
To meet Metarom’s exponential growth, management recognized the need to replace their incongruent applications with a single, unified solution to manage inventory, production, and warehousing.

Implementation was Smooth and Fast

In their search for a solution, Metarom evaluated SAP, Aptean/Ross, and a few other end-to-end ERP solutions. After the vendor’s product demonstrations, the team felt that BatchMaster’s BME Web application provided the needed functionality and could be integrated to their QuickBooks Online financial application at 1/2 to 1/3 of the price of the other ERP vendor solutions.
Director of Supply Chain, Krissy Fong, led the company’s software evaluation process and the customer side of the implementation project. During implementation, Fong was the project manager, and was the “super user” who led the training effort for the staff. Now into production, she continues to be the “go to person” whenever there is a question about BatchMaster functionality or a need to configure the system to meet a given objective.
Today, the R&D staff continues to use their 3rd party R&D lab app to match existing customer formulas and/or create new ones. Once approved, these formulas are copied into BME Web, where formulas can be analyzed by cost, specific ingredients, labor, and consumable costs, as well as, being assigned QC tests and SOPs. Once approved, these formulas serve as the basis for batch production.

Exceeding SQF Advanced Food Safety Mandates

In production, BME Web ensures that the right raw materials are allocated based upon their quality and expiration date status. BME Web controls the picking of ingredients, the ‘make’ and fill’ processes, and the QC testing of the products. The supported processes ensure the proper production of Metarom’s allergen-free, bake-stable, freeze-stable, high-protein, and sugar-free product lines.

“BME Web has automated several manual tasks, including the generation of customer-specific COA’s, the printing of various labels during warehousing and production, and the capture and creation of product expiration dates and lot numbers of raw materials and finished goods”, says Fong.

Comprehensive lot management in BME Web allows Metarom to trace the origin and distribution of their products, as well as, identify and track any quality issues or defects that may arise. This allows them to quickly track, and trace a suspect product, and generate a recall letter, and the bi-directional, graphical lot traceability inquiry connects the dots between processes at a push of a button, to exceed the requirements set by the SQF advanced food safety mandates.

Plans to Add Additional Functionality for Even Greater Efficiencies

Fong feels that the company is only employing about 60-75% of BME Web’s capabilities at this time. She requested that BatchMaster consultants come onsite, where they evaluated Metarom’s operations, and discussed additional strategies, and configurations that could further optimize the company processes.

Currently, Metarom is configuring, and testing the advanced planning & scheduling modules, MPS & MRP, which will give production and purchasing the ability to forecast batch jobs and purchase orders, respectively.

An additional module that will be rolled out is the Mobile Warehouse Management module, which will allow the plant floor users to perform receiving, putaway, picking, shipping, and other inventory movement, in addition to adjustment tasks within the facility using any HTML browser-based device (e.g. gun, smart tablet).
