Food and Beverage ERP Software Built for How Food Is Actually Made

Formulas instead of BOMs. Lots instead of part numbers. Shelf life instead of infinite storage. BatchMaster Food and Beverage ERP Software runs formulation, batch production, quality, compliance, traceability, costing and financials on one system built for process manufacturers, not a discrete ERP with food features bolted on.

What Is Food and Beverage ERP Software?

Food and beverage ERP software is an enterprise system built around recipes, lots and expiration dates rather than part numbers and assemblies. It covers the same ground as any ERP (purchasing, production, inventory, sales, finance) and adds what Food and Beverage manufacturers are actually held to: formula management, bidirectional lot traceability, allergen and nutritional labeling, shelf-life and FEFO control, quality checks tied to production, and costing that accounts for yield and loss.

The distinction matters because process manufacturing is irreversible. You can disassemble a car and get the original parts back. You cannot disassemble a smoothie. Once ingredients are blended, roasted, fermented or filled, the system has to understand what came out, what it cost, which lots went into it, and where every case of it shipped. Most ERP systems were built for assembling parts, not blending formulas, which is why Food and Beverage manufacturers who buy a general-purpose ERP end up funding a customization project to add the functions that should have been there on day one.

BatchMaster has built only process manufacturing ERP for 40+ years, delivered today as modern cloud software with AI capabilities including natural-language formula generation, an in-product AI assistant, and AI-driven sales forecasting. Food and beverage is our largest industry, spanning bakery and snacks, confectionery, dairy, dressings and sauces, flavors and additives, frozen and packaged food, spices and seasonings, and beverages.

A Formula Is Not a Bill of Materials

The gaps below are the ones food and beverage manufacturers discover after go-live, when the workarounds start.

Generic or discrete ERP

BatchMaster Food and Beverage ERP

Specialized Capabilities for Food & Beverage Operations

Eight areas where food-specific depth decides whether an ERP works on your floor or fights you.

Recipe and formula management

Formulas are managed as living documents, not static parts lists. Each specification carries status, approval history and a complete audit trail, so R&D iterations move into production without re-entry and without losing the record of who changed what. Multiple developers can work on separate recipe and packaging specs in parallel, then run a side-by-side comparison of ingredient, labor, consumable, shipping and miscellaneous costs before anyone commits to a version.

Formulas scale dynamically by batch size, available inventory or target yield. When a formulator sets a nutritional or physical target (sugar, sodium, fat, viscosity, pH), the system flags specifications that exceed it and can adjust the contributing ingredient levels automatically. USDA and Genesis nutritional data feed directly into product development.

  • Version control and approvals with full audit history on every specification
  • Dynamic scaling by weight, volume, batch size or available inventory
  • Automatic density handling: weight-to-volume relationships calculated, not hand-converted
  • Target-value alerts for nutritional and physical properties
  • Side-by-side spec comparison across ingredient, labor and consumable cost
  • Packaging BOMs managed alongside the formula for multi-pack and private-label SKUs

Beverage Production Is Formula Work With a Packaging Problem Attached

Beverage manufacturers blend by formula, sell by volume, buy ingredients by weight, and run a packaging line that is a second scheduling problem with its own bottles, caps, labels and cartons. Generic ERP handles neither half well.

BatchMaster understands the relationship between weight and volume natively, so recipes scale across tank sizes and fill volumes without manual conversion. Quality parameters such as pH and moisture content are defined as tests against the batch. Packaging BOMs plan containers and components alongside the liquid. And because loss is modeled per line and per batch, material lost to line flushing between flavor runs is in the cost, not in the variance.

FSMA-Ready Software, FSMA-Literate Implementation, Validation Services When You Need Them

Compliance breaks in three places: the software, the implementation, and the validation. Most vendors sell you the first, subcontract the second, and leave you to source the third.

The Software

FSMA ready out of the box

Every receipt, production step, transfer and shipment is recorded against a lot, carrying the data the FDA Food Traceability Rule asks for, traceability lot codes, quantities, dates, locations and reference documents as a by-product of normal transactions rather than a separate reporting exercise.

  • Bidirectional trace and mock recall on demand, so you rehearse the trace on a normal Tuesday instead of discovering the gaps during an audit
  • Quality checkpoints that map to HACCP critical control points and hold a batch until they pass
  • A recall workflow that runs on mobile devices, so the trace and the hold happen where the product is
  • Electronic, time-stamped audit trail behind formulas, batch records, QC results and dispositions
The Validation

FDA and FSMA validation services

Manufacturers under FDA oversight are often required to validate the software itself, not simply use it. BatchMaster delivers GMP Validation as a Service, so validation is not a separate project you have to scope, source and manage alongside the implementation.

  • Validation protocols, execution and the documented evidence package auditors expect
  • Delivered by the same organization that built and implemented the system
  • Available across food, beverage, nutraceutical and life sciences operations
  • Electronic signatures and approvals aligned with 21 CFR Part 11

That industry knowledge shows up in configuration decisions, not just in the sales conversation. How allergen segregation should be enforced on a shared line. Which quality checkpoints an auditor will want evidence for. Where FSMA traceability records have to sit so they can be produced on request rather than reconstructed. Those are process and compliance judgments before they are software settings, and they are the difference between an ERP that passes an audit and one that creates work during it.

BatchMaster Food & Beverage ERP: FAQs

How is food and beverage ERP different from a generic ERP system?
A generic ERP models products as assemblies of parts with fixed bills of materials and infinite shelf life. Food and beverage ERP models them as formulas with variable yields, lot-level genealogy, expiration dates, allergens and regulatory documentation. The practical difference shows up in what you have to build yourself: with a generic ERP, recipe scaling, nutritional labeling, FEFO allocation, catch weight and traceability reporting become a customization project. With purpose-built food ERP they are standard behavior.
Is BatchMaster FSMA ready?
BatchMaster supports most of the requirements of FSMA 204, the FDA Food Traceability Rule. Every receipt, production step and shipment is recorded against a lot with its attributes (traceability lot codes, dates, quantities, locations, supplier and certification status), so the records the rule calls for are a by-product of running the business rather than a separate reporting exercise. Bidirectional traceability and mock recall reporting are built in, which means you can rehearse against the requirement now instead of preparing for it later. For a requirement-by-requirement view, see our FSMA 204 white paper. The same foundation supports FDA, USDA, HACCP and GFSI-recognized schemes including SQF and BRC. Where an operation is required to validate the software itself, BatchMaster also provides FDA and FSMA validation services.
Can BatchMaster generate nutrition facts panels and allergen statements?
Yes. Nutritional values are calculated from formula composition and ingredient properties, with USDA and Genesis nutritional data supported, and FDA nutritional and ingredient labels generated from that data, including serving sizes, calorie content and daily values. Allergens and physical properties are tracked from raw material through to finished goods, so allergen statements reflect what actually went into the batch. Formulas can be adjusted dynamically to hold a label claim.
Do we have to replace QuickBooks to use BatchMaster?
No. BatchMaster runs in two ways. It can sit alongside your existing financial system (QuickBooks Online or Desktop, Sage 100 and 300, or Microsoft Dynamics 365 Business Central), adding manufacturing, quality, traceability and inventory without touching accounting. Or it can replace the whole stack as an all-in-one ERP, including financials, sales, purchasing, distribution and CRM. Many manufacturers start with the first and move to the second as they grow.
How does the system handle shelf life, expiration and spoilage?
Inventory is tracked by lot with expiration date, age, status and location. Batch jobs allocate material according to expiry and rotation method, and FEFO, FIFO and LIFO issue methods are supported, so short-dated material is consumed, reworked or discounted before it is written off. Inventory can also be selected by certification status and potency, which matters for ingredients that degrade rather than simply expire.
Does BatchMaster support catch weight and variable-weight products?
Yes. Simultaneous dual units of measure let you track and cost products sold by case but priced by weight (meat, cheese, produce and similar variable-weight items), with the actual weight carried through receiving, production, picking and costing rather than reconciled manually afterward.
What does BatchMaster cost, and how is pricing structured?
Pricing depends on which configuration fits: the BatchMaster Manufacturing add-on alongside your existing financials, BatchMaster ERP as an all-in-one cloud system, or BatchMaster ERP with SAP Business One for multi-entity and international operations. Within each, cost scales with users, modules and number of sites. Because process manufacturing is native rather than customized in, there is no separate development budget for formulation, traceability or compliance functionality. A scoping conversation produces a configuration and a number.
How long does a food and beverage ERP implementation take?
It depends primarily on whether your financial system is changing. Adding manufacturing capability alongside existing financials is the fastest path, typically a matter of weeks to a few months for a single-site manufacturer. Replacing financials at the same time, or rolling out across multiple sites with significant data cleanup and integrations, extends the timeline. BatchMaster runs the project with its own team, so configuration decisions draw on prior food and beverage implementations.
Does it work for contract, private label and co-packing operations?
Yes. Private label, contract and white label production are handled natively, with brand-specific formulas, costing and compliance maintained separately under one system. Co-products, by-products and rework from a single production run are tracked with their own lots and cost allocations, which is what makes co-packing profitability visible at the customer and SKU level.
What AI capabilities does BatchMaster Food & Beverage ERP include?
BatchMaster Food & Beverage ERP includes an AI assistant that gives teams instant answers and speeds up onboarding. Formulators can describe a new product in plain language and get a first-pass formula with nutritional labeling and manufacturing instructions. AI-driven sales forecasting uses your historical sales to help plan for seasonal and promotional demand. Manufacturers running BatchMaster ERP with SAP Business One also get the SAP Business One AI copilot and intelligent document processing for vendor invoices.
How quickly can we execute a recall or a trace?
A trace is a query against lot history rather than a reconstruction project, so the answer comes back in minutes. Bar Bakers responds to bidirectional traceability requests in under 15 minutes, including exactly where finished goods were used and shipped. Mock recalls run the same path as real ones, which is what auditors want to see. The recall workflow also runs on mobile devices: the person physically locating and holding affected stock can work from a phone or handheld on the plant floor rather than relaying lot numbers back to someone at a desk, which is usually where time is lost during a live recall.
Do you provide FDA and FSMA validation services?
Yes. Some manufacturers are required not just to run compliant processes but to validate the software those processes run on. BatchMaster offers GMP Validation as a Service covering validation protocols, execution and the documented evidence package auditors expect. Because the same organization builds the software, implements it and validates it, there is no gap between how the system was configured and how it was validated, and no third party to coordinate between.
What size food and beverage manufacturer is BatchMaster built for?
Small and midmarket process manufacturers, with a platform that scales beyond. The smallest customers are single-site operations replacing spreadsheets and disconnected systems; the largest run multiple plants, multiple entities and international operations on BatchMaster ERP with SAP Business One. The consistent pattern is formula-based production under regulatory oversight, which is where a general-purpose ERP starts costing more than it saves.
Is BatchMaster a cloud-based Food & Beverage ERP?
Yes. BatchMaster Food & Beverage ERP is delivered as modern cloud software, with a role-based browser interface that lets production, quality and office teams work in the same system. Private cloud hosting is available, and on-premise deployment remains supported for food and beverage manufacturers whose IT policy requires it. BatchMaster has moved through every generation of ERP technology (on-premise, to cloud, to AI) under the same ownership and the same focus on process manufacturing.
