Beverage Manufacturer Modernizes with BatchMaster ERP Integrated with QuickBooks

Florida Natural Flavors is a beverage manufacturer specializing in hospitality industry products, including resorts, theme parks, hotels, and restaurants. Established in 1983, the company began with proprietary formulations managed through contract packers and transitioned into manufacturing in 1989. They now produce various beverage products, support private labeling, and offer contract packing services.
Based in Florida, the company is known for long-standing distributor relationships and a commitment to high-quality, specialized production.

SELECTION

After two decades of using Bev Pro, built on the Progress database, Florida Natural Flavors needed to modernize. Their software—initially designed for citrus processing—was outdated, lacked support, and couldn’t keep up with evolving business needs. “My server was still running Windows 2008,” said Mark Wilkinson, who oversees IT and infrastructure. “We knew if it crashed, it would be a nightmare. It was time to upgrade.”
The company had begun using QuickBooks for accounting but continued relying on the old production and inventory management system. The lack of integration created inefficiencies. As the system was not ERP in the modern sense and wasn’t correctly implemented, many tasks had to be handled manually, including tracking of ingredients, costing, and lot traceability.
Florida Natural Flavors looked at various systems, including Oracle and Odoo. “I would spend hours online just going through every system out there,” stated Wilkinson. “And everything kept going back to Batchmaster.”
Ultimately, they chose BatchMaster ERP integrated with QuickBooks for its ability to manage recipes, inventory, production, and costs while allowing them to retain the financial software they already knew and trusted. They had considered BatchMaster years earlier and were happy to find it remained a strong, reliable ERP with features tailored to their needs.

Florida Natural Flavors Anticipates Significant Improvements in Accuracy and Efficiency

One of the company’s top goals is to reduce manual processes. Batching sheets and cost calculations are done by hand, and lot number tracking is a time-consuming, error-prone manual task.
“With the pricing of the ingredients, our understanding is that Batchmaster will segregate those prices and into our batch so we can price this out properly without any loss,” stated Garry Erdman, Vice President. “If we yield 1000 gallons, it’s going to be a true price, which will give us a true price on the actual yields.”
With BatchMaster ERP, they anticipate significant improvements in accuracy and efficiency, particularly in:
“We want to do things right the first time,” Wilkinson shared. “BatchMaster will let us track things like lot numbers, actual yields, and true costs in real-time. It’s going to free up a lot of man hours.”
Another significant benefit is establishing better controls and SOPs around purchasing, receiving, and inventory. By formalizing and automating processes through BatchMaster ERP, Florida Natural Flavors hopes to improve compliance, audit readiness, and inventory accuracy. They’re also excited about the opportunity to eventually use the system for faster reporting and on-demand data access.

“I believe there will be a lot less double-entry (once BatchMaster is implemented). Staff has to create different reports and input them manually,” explained Erdman. “So, being integrated, it should do it automatically, and I think that’s just going to free up a lot of man-hours.”

Vice President

LOOKING AHEAD

Though the team acknowledges a learning curve, they see long-term value in modernizing their systems. “The current program is hard to navigate. New hires struggle with it. We’re hoping BatchMaster’s modern interface will be easier to use and reduce training time,” said Wilkinson.
Erdman added, “New hires should be able to learn rapidly. Versus day-in and day-out training on navigating all the windows to get from point A to Z. We’re hoping BatchMaster will eliminate all those processes. So people can do their work more efficiently and accurately.”
They are currently in the early stages of implementation, with training already completed and the project moving forward smoothly. “We’re loyal,” Wilkinson added. “We were with our last system for 20 years. If BatchMaster does what it’s supposed to do, we plan to be with it for the next 20.”

BatchMaster Cloud ERP for QuickBooks

Renowned Instant Coffee and Tea Importer Achieves Food Industry-specific Functionality with BatchMaster ERP

TeaAroma, Inc. was founded in 2003 as the exclusive distributor for Dong Suh Foods Corporation, bringing the well-known Maxim brand and Dong Suh Korean teas to the North American market. They ran on QuickBooks, but as the company grew, it needed industry-specific functionality such as batch processing, lot traceability, compliance, and packaging management, which QuickBooks was missing. They chose BatchMaster Cloud ERP for QuickBooks to have the advanced manufacturing capabilities needed and to continue using QuickBooks for accounting.

Key Results

  • Real-time insight into accurate inventory levels and raw materials ensures immediate responses to customer inquiries and eliminates manual counts.
  • Improved costing with transparent cost tracking across stages of production, including accounting, for material losses in roasting processes.
  • Faster, informed decision-making with automated, real-time reports replacing manual, error-prone calculations, improving inventory and pricing decisions.
  • Strengthened quality control by tracking third-party lab tests to trace issues quickly and ensure compliance.
  • Seamless integration with QuickBooks for real-time data transfer and elimination of manual entry, ensuring accuracy and streamlining financial processes.
  • Greater control of each step in production, an understanding of BOMs used, and all process costs get calculated automatically.

Challenges

The food distributor and manufacturer faced significant operational challenges. It used QuickBooks but needed help with tracking inventory, costing, and overall visibility into its production processes. Upper management at TeaAroma recognized the company’s need for an ERP system.
Senior Accounting Manager Logan Moon’s experience with Fishbowl and NetSuite made him the ideal candidate to guide them through the selection process. When Moon joined the company, it wasn’t using key metrics, like how much raw material was used at any given time. Decision-making was complex due to the lack of precise data, and manual calculations for production processes were time-consuming and prone to error.
The company needed an ERP solution to address these pain points, which could provide the functionality that QuickBooks lacked, such as batch processing, lot traceability, industry-specific compliance, and packaging management. They also wanted their ERP to integrate seamlessly with QuickBooks, which they wished to retain because of its familiarity and ease of use.

Solution

With three critical criteria—finding a web-based, food industry-specific ERP system that can integrate with QuickBooks—Moon began searching for a suitable ERP from three options: Fishbowl, Wherefour, and FoodLogiQ. They also looked at NetSuite and SAP.
While Fishbowl was familiar to Moon, it didn’t have a web-based solution, was light in its manufacturing capabilities, and didn’t specialize in the food manufacturing industry. Moon didn’t like Wherefour’s limited costing and calculation methods, and it didn’t have industry-specific food manufacturing features. And FoodLogiQ had limited costing capabilities.
Moon looked at the records from a previous ERP search TeaAroma had records from and saw SAP, NetSuite, BatchMaster, and other options. After talking to each company and seeing their demos, he eventually narrowed it down to three choices, with BatchMaster as the clear leader.
BatchMaster was web-based and stood out for its ability to handle complex food production needs, including BOM processing, lot tracking, and quality control, all of which were critical for the business. TeaAroma imports and exports goods, produces roasted nuts, and repackages beans and rice onsite. BatchMaster could handle all of its order processing plus production.
It also had many explosion features that allowed the company to track costs across its processes in detail, which the company loved. Notably, BatchMaster’s integration with QuickBooks enabled real-time data transfer whenever an order closed, eliminating the manual data entry that was causing them delays and errors.
When Moon presented his findings, TeaAroma’s upper management group agreed with his choice of BatchMaster ERP.

Benefits

Now that BatchMaster is deployed, the company is much more efficient, spending less time understanding its production costs. Moon has noticed a significant difference in reduced time spent to obtain accurate information.
“Now, when customers ask us, do you have this much for purchase? We can give them an answer right away,” explained Moon. “Before BatchMaster, it would take us one to two days to figure out.”

Accurate Inventory

They now have real-time insight into inventory levels and raw materials, which was previously impossible with QuickBooks alone. At the end of each quarter, they used to have to walk the warehouse and count everything, then calculate from whatever the last count was. It was time-consuming and inaccurate, and there was no way to audit.
With BatchMaster, TeaAroma ensures its inventory is always correct so staff can confidently answer customer inquiries immediately.

Cost Accuracy and Transparency

BatchMaster’s ability to track costs at every stage of the production process has been invaluable, particularly for its nut roasting, where moisture and oil loss can affect the final product weight.
Peanuts are purchased in 44,000-pound batches and sent out for blanching. When they return, there is another weight difference. BatchMaster can indicate any weight changes and factors in landing costs or other expenses to estimate the cost of goods sold accurately. “BatchMaster’s costing features are a game-changer for us,” stated Moon. “In food production, every ounce of weight loss during roasting affects the final product’s cost. Now, we can track it all down to the smallest detail.”

Improved Decision-making

Reports that used to take hours to compile manually are now generated quickly and with greater accuracy, allowing decision-makers to know what inventory to buy and when and how to price goods sold, which helps them improve customer satisfaction. Real-time information is immediately at their fingertips. “We’ve got the data we need to price competitively, Moon stated. “BatchMaster’s ERP system has been instrumental in helping us streamline our operations to grow faster.”

Quality Control

The company heavily relies on BatchMaster’s Quality module, which tracks third-party lab test results for its imported and exported goods. Due to the nature of the food production business, it is critical that they can find any issues immediately and track them back to the source.

"We heavily rely on BatchMaster’s Quality module to track third-party lab tests for all our imports and exports,” explained Moon. “If there’s a problem, we can trace it immediately— there’s no guessing."

Superior Service

Moon said that the implementation team’s speed and support level were superior to any other ERP he has worked with. He also complimented the customer service team he began working with after transitioning from the implementation stage.

Seamless Integration with Quickbooks

One of the key criteria for TeaAroma is that the ERP they chose could integrate with QuickBooks. BatchMaster ERP for QuickBooks provides a seamless integration experience with immediate transfer of information from one system to the other, so everyone is always working from accurate data. In Moon’s past, working with FishBowl didn’t provide visibility to the data in QuickBooks, and vice versa.

Set for Growth

Thanks to BatchMaster, TeaAroma is positioned to continue growing its business, armed with the data and operational efficiency needed to make smarter, faster decisions. “The ability to integrate BatchMaster with QuickBooks was essential for us. We didn’t want to lose familiarity with QuickBooks, but we needed the advanced manufacturing capabilities of an industry-specific ERP. BatchMaster gave us the best of both worlds.”
Their integration with QuickBooks ensures they can maintain the financial system they’re comfortable with while leveraging BatchMaster’s ERP capabilities to optimize their cost tracking, production, quality, and inventory management.

BatchMaster’s Customer Portal Reduces Costs and Increases Customer Satisfaction for Michou Deli

Located within the historic Pike Place Market in Seattle, Washington, Michou Deli uses locally sourced fresh ingredients to make an amazing array of deli goods, including over 100 different salads. With customer variations, they have almost 3,500 line items that can be ordered. Michou Deli sells its products in local supermarkets, as well as its own retail outlet. They have the flexibility to make speciality food items for specific customer requests.
Michou Deli runs 2 different processes to support their wholesale and retail businesses because they have vastly different requirements:
Direct-to-end-user selling requires an eCommerce solution integrated into the manufacturer’s website. It simply needs to record orders, take payment, and move the order to the ERP system for processing and dispatch.
Wholesale-only selling requires much more. The system is not visible on the website but does need to be a web-based solution. Wholesale customers need access to a considerable amount of information about their orders, especially as they are typically placing two or more orders each and every day.

Michou Deli Uses Customer Portal Module to Manage Its Wholesale Business

Michou Deli needed software that allowed customers to place orders on-line, then have these orders processed by their current manufacturing software application. Since Michou Deli already employs BatchMaster Manufacturing application to manage their HACCP- operated kitchen operations, Michou Deli decided to add the Customer Portal module to provide the means of managing their wholesale business.
BatchMaster’s Customer Portal module supports Michou Deli’s high-volume transactions and is available to their customers 24/7. Each customer can see only their own data. They can customize their view of that data to suit themselves, and even have it branded with their own corporate identity. The Customer Portal module provides what wholesale customers need – the ability to view historical transactions, review quotes, place orders online, track shipments, print and/or download paid and unpaid invoices. The portal’s ease of use features includes the facility to search, filter, sort, and group data records. Users can also customize the data view by showing/hiding columns in the data grid and saving their preferences for future use. The module is deployed in a secure cloud environment and has real-time integration to the BatchMaster Manufacturing application is real time.
The Customer Portal Module is integrated to Stripe, the international payments infrastructure for the internet, allowing the system to accept payments and send pay-outs. Full Credit Card and ACH payments are available.
Ralph Castellino, owner, estimates that his business is saving more than 60 hours per month in data entry, collaborating with their customers regarding their order status, avoiding data entry errors, etc. After going live with the customer portal, Ralph noted that the first two customers on-boarded alone entered around 125 orders per month, and that they are receiving orders from 38 individual customer stores.

“Its super simple to use the platform. Customer on boarding was simple and payback time for this platform is short. I couldn’t be any happier!”. Regarding the implementation efforts, Ralph added “Look no further than BatchMaster – their team is knowledgeable and professional.”

BatchMaster BME Web

BatchMaster ensures quality production of all Metarom’s product lines and increased visibility and process efficiencies.

Metarom started producing their signature caramels in 1953 and has been expanding their product lines to include a variety of flavors, extracts, functional ingredients, and vanilla bean ingredients used by food and beverage producers. Metarom USA was founded in 2017 to serve the North American market. As part of the Metarom Group, the US division enjoys global collaboration, supply chain optimization, and a wealth of market insights from every corner of the world.
Today, Metarom employs the native cloud-based, manufacturing application, BME Web, from BatchMaster Software to streamline and scale up operations, while complying with industry regulatory mandates.

Challenges

Metarom employed three disparate applications to run their operations. One of these, the R&D application, properly supported formulation, however, it did not take into account inventory availability when generating batch tickets to the floor. Specifically, the expiration dates of ingredients were not managed, therefore the quality team had to test the ingredients before using them in production, which incurred additional labor costs, time, and caused potential delays in production and order fulfillment.

From an inventory management  perspective, plant workers did not know the specific locations in which raw materials, and finished goods were stored or sorted. This lack of visibility led to increased labor costs and time to search for the needed inventory, which further delayed processing and order fulfillment.

Metarom develops customized flavor profiles and therefore needed a solution to support their customer specific requirements, from performing QC tests on their Kosher and organic certified products, to generating customized COA reports. In additions, the solution needed to comply with ever more stringent regulatory mandates set forth by the GHIS/FDA/SQF and GHS/SDS organizations.
To meet Metarom’s exponential growth, management recognized the need to replace their incongruent applications with a single, unified solution to manage inventory, production, and warehousing.

Implementation was Smooth and Fast

In their search for a solution, Metarom evaluated SAP, Aptean/Ross, and a few other end-to-end ERP solutions. After the vendor’s product demonstrations, the team felt that BatchMaster’s BME Web application provided the needed functionality and could be integrated to their QuickBooks Online financial application at 1/2 to 1/3 of the price of the other ERP vendor solutions.
Director of Supply Chain, Krissy Fong, led the company’s software evaluation process and the customer side of the implementation project. During implementation, Fong was the project manager, and was the “super user” who led the training effort for the staff. Now into production, she continues to be the “go to person” whenever there is a question about BatchMaster functionality or a need to configure the system to meet a given objective.
Today, the R&D staff continues to use their 3rd party R&D lab app to match existing customer formulas and/or create new ones. Once approved, these formulas are copied into BME Web, where formulas can be analyzed by cost, specific ingredients, labor, and consumable costs, as well as, being assigned QC tests and SOPs. Once approved, these formulas serve as the basis for batch production.
“We had a great experience with the BatchMaster implementation, and the support team. Everyone was very knowledgeable, and committed to helping us implement the system as fast as possible”, explains Fong.

Exceeding SQF Advanced Food Safety Mandates

In production, BME Web ensures that the right raw materials are allocated based upon their quality and expiration date status. BME Web controls the picking of ingredients, the ‘make’ and fill’ processes, and the QC testing of the products. The supported processes ensure the proper production of Metarom’s allergen-free, bake-stable, freeze-stable, high-protein, and sugar-free product lines.
“BME Web has automated several manual tasks, including the generation of customer specific COA’s, the printing of various labels during warehousing and production, and the capture and creation of product expiration dates and lot numbers of raw materials and finished goods”, says Krissy Fong, Director of Supply Chain for Metarom.
Comprehensive lot management in BME Web allows Metarom to trace the origin and distribution of their products, as well as, identify and track any quality issues or defects that may arise. This allows them to quickly track, and trace a suspect product, and generate a recall letter, and the bi-directional, graphical lot traceability inquiry connects the dots between processes at a push of a button, to exceed the requirements set by the SQF advanced food safety mandates.

Plans to Add Additional Functionality for Even Greater Efficiencies

Fong feels that the company is only employing about 60-75% of BME Web’s capabilities at this time. She requested that BatchMaster consultants come onsite, where they evaluated Metarom’s operations, and discussed additional strategies, and configurations that could further optimize the company processes.
Currently, Metarom is configuring, and testing the advanced planning & scheduling modules, MPS & MRP, which will give production, and purchasing the ability to forecast batch jobs, and purchase order, respectively.

“We have been live for 7 months and our users have benefited from increased visibility to our operations and the use of more advanced and automated functions to increase process efficiencies”, states Fong.

An additional module that will be rolled out is the Mobile Warehouse Management module, which will allow the plant floor users to perform receiving, putaway, picking, shipping, and other inventory movement, in addition to adjustment tasks within the facility using any html-browser based device (e.g. gun, smart tablet).

Looking Forward to Enhanced User Productivity and System Performance

Today, Metarom France provides Metarom USA with SDS labels, and documents. BatchMaster’s SDS module is being considered in order to generate these SDS labels, and documents on demand, and in-house.
Metarom is looking forward to having the BatchMaster consulting team back onsite at the end of their first year live with BME Web to hold a system audit that can uncover further opportunities to enhance user productivity, and system performance.

BatchMaster: a Global System Everyone Can Use and Anyone Can Understand!

Headquartered in Chicago, USA, Newly Weds Foods is a major global provider of food services to food manufacturers. They have a presence in North and South America, Europe, and the Asia Pacific Group. With accreditations from GMP, Halal, HACCP, AIP, etc., Newly Weds Foods provides a wide range of seasonings, sauces, marinades, flavors, bread crumbs, and batters to suit every possible application.

Situation

Working in a customer-focused culture, Newly Weds Foods always strives to provide its customers with the Best Products at the Best Price. With a presence worldwide, Newly Weds Foods sources best quality local raw materials and delivers local taste, making sense for its customers to come to them. With this philosophy, they grew their customer base and thus their business, bringing about the need to standardize their software and systems. Their growing business in the Asia/Pacific Group brought about expanding databases residing on individual PCs, servers and pretty much all over. Besides consuming time, scattered information was bringing inaccuracies in operations, leading to losses. Countless activities – sales, purchase, production, planning, meeting regulatory compliance, inventory management, finance, etc. were being disposed of errors.

Inefficiencies in Legacy System and the Roadmap to BatchMaster

Newly Weds Foods Australia was using MISys integrated with Sage ACCPAC as their ERP partner, but the system did not meet the needs of Newly Wed Foods. Mr. Prasanth Gaundaur said, “There were issues with integration between Misys and ACCPAC, which restricted our ability to do real-time invoicing. We were selling without invoicing and this led to irregularities and discrepancies in stock.”
Moreover, Mr. Prasanth Gaundaur mentioned that they couldn’t take advantage of Production Scheduling because it was poorly designed. They had to rely on Excel spreadsheets and an MS Access Database outside the system for planning, which was often erroneous. Compliance issues, regulatory requirements, and allergen management are other things that were not met by the legacy system. They particularly needed to bring their BOMs and Formulas within their ERP structure.
These challenges compelled Newly Weds Foods to hunt for a new ERP system. To minimize costs and disruption, they wanted to keep Sage ACCPAC and replace MISys with a system that could seamlessly integrate with ACCPAC. With this in mind, they started their search, initially via the Internet. They browsed a few products and compared them with their business operations. While discussing with other group companies (especially their Canada operations),they were recommended to look at BatchMaster. Finally, after doing their own deep analysis and comparisons, they chose BatchMaster.

Adding the thoughts of Mr. Marc Tremblay, “BatchMaster seemed to be the best fit for the price. Since we were not that big company (for our China operation), the pricing was flexible and based on the number of users. Increase the number of users, the price goes up”. He continued, “The choice became easy because of the smart pricing strategy and also because the software provided a full process of the business model, from sales up to production, purchase, inventory etc. all the modules were there for each department of the company thus making it possible to take everything back to one place”.

Australia was the second plant of Newly Weds Foods to embrace BatchMaster, and the joy of reaping a fast Return on Investment led them to implement it in their Philippines and Bangkok plants as well. Mr. Prasanth Gaundaur explained, “We have a company spread across four regions. We can’t standardize our process across the whole group, though there is always clarity about how people do it. And, with BatchMaster we can manage that quickly and efficiently”.

Mr. Gaundar noted that a number of localizations and workarounds were required in the system to meet local conditions, and BatchMaster accepted them swiftly. Mr. Gaundaur said, “How BatchMaster puts it is important. But we were always confident that the team at BatchMaster would be able to do it.”

Robust Solution

Ease of use coupled with immense usability were the hallmarks of BatchMaster, which instantly clicked with Newly Weds Foods. Core process software with comprehensive process manufacturing capabilities, in ® addition to being multilingual, working within Microsoft Windows, and integrating with Microsoft Office®, were other things that appealed to BatchMaster.

Inventory Control

At Newly Weds Foods, just like any other food industry, raw materials/ingredients are considered the most vital component –the lifeblood of their industry. Managing the quality and freshness of raw materials with limited shelf-life was their FIRST and BIGGEST hurdle. The fully practical yet feature-rich inventory module of BatchMaster stunned the Newly Weds Foods inventory controller with its strong ability to capture complete details about every raw material. “The business has grown three times. The raw materials we keep in stock have doubled, yet the value of the stock has reduced, which is testament to the point that we have a system in place that helps us better manage the inventory, which any other day is money for us”. Right from classifying their inventory, tracking items, providing various issue methods as well as costing methods, keeping evaluations plus status current, to maintaining storage conditions and all these for multiple locations/warehouses, BatchMaster records complete details about all ingredients and products for Newly Weds Foods, ensuring safe and fresh storage.

Formulation / Recipes and Compliance

For Newly Weds Foods, the recipe is the only source providing the competitive edge that turns high demand into large revenues. In short, the recipe is the bread and butter for their industry. Keeping them secure, consistent, yet accessible is what Newly Weds Foods strived for. But, since they export to multiple countries, they cannot produce anything that appeals to them. They must be aware of taste and consumer preferences in each market. Their recipes must follow stringent regulatory laws implied by various organizations in multiple jurisdictions. Helping Newly Weds in recipe management, BatchMaster streamlines their entire formulation process. Along with providing provision of recipe definitions with multiple ingredients, intermediates, labor, and manufacturing instructions, BatchMaster also offers complete recipe security via the provision of changing the recipe by authorized people only, tracking all versions of the formula along with reasons for change. In addition, the incorporation of the Packaging Bill of Materials module further facilitated streamlining development/innovation and the design of final products. Newly Weds Foods, along with associating formula, labor cost, overheads, and packaging materials, were also able to quickly drill to the deepest level of any finished good to view all the raw materials and intermediates used in its making.

Continuously faced with ever-changing customer demands, Newly Weds Foods must bring innovation to satisfy their customers without compromising compliance mandates. FDA, USDA,HACCP, Bio-terrorism Act, etc., all call for quick and thorough product recalls if required. Moreover, to protect consumers from harmful bacteria and allergic reactions, Newly Weds Foods needs to comply with labeling requirements that fall under the Food Allergen Labeling and Consumer Protection Act (FALCPA). Mr. Prasanth Gaundaur explained, “As far as food manufacturing is concerned, we have to comply with regulations. Fact is we are exporting to other countries, requiring us to be on our toes to always stay compliant”.

Offering pace with power, BatchMaster’s R&D module made innovation much easier for Newly Weds Foods. It allowed them to design recipes based on the USDA database’s nutritional values and other physical properties. To ensure safety, with BatchMaster’s help, Food Technicians at Newly Weds Foods can rigorously test their innovative recipes before release.

Keeping in mind every cGMP requirement, BatchMaster has been designed to operate by the regulatory outlooks. Inbuilt bi-directional tracking facilitates quick and complete ‘field-to-fork’ traceability of materials. Furthermore, integrated with the USDA database, BatchMaster generates precise in addition to approved formats of nutritional labels, ingredient statements, allergen declarations, and nutrient content. Mr. Gaundaur said, “Compliance was addressed by BatchMaster with unexpected ease. Allergens can now be managed efficiently. Additionally, visibility of allergens across the system is determined quite well”.

Quality Assurance

Assuring product quality is not an option but an important responsibility for Newly Weds Foods. Helping their quality manager in fulfilling responsibility with 100% assurance, BatchMaster optionally applies quality checks at every required process junction. Preventing defective items from being processed, BatchMaster not only ensured the best quality but also helped Newly Weds Foods earn greater customer satisfaction. Quality was a big concern for Mr. Gaundaur, but now he doesn’t have to worry about it – “We source raw materials out of Asia, South America, North America, UK and more. Supply is very critical for us. We have to ensure the quality of the product and determine how safe it is. How we are using and managing it is, again, critical. But important now is that BatchMaster helps in managing and working with it easy.”

Production Management

Production – the driving force turning the wheels of Newly Weds Foods. Using BatchMaster, Newly Weds Foods was able to expedite its production tremendously. Eliminating the gap between software and actual operation, BatchMaster very well understood their batch processing to support them in shaping their products. It helped to guarantee the stable and well-organized operation on which Newly Weds Foods relies. Delivering advanced features BatchMaster successfully met, indeed exceeded, the expectations and requirements for their entire production process. Providing real-time access to accurate material and labor information, BatchMaster pleased the production team at Newly Weds Foods with its strong capability of reducing waste and inefficiencies.

Growth, profitability, and reduced waste are the aims Newly Weds has always dreamt of. Unquestionably, only good planning could help Newly Weds achieve its goals. Turning their dream into reality, BatchMaster’s MPS/MRP provided the intelligence to plan production with the optimum utilization of all available resources, plan material purchase as well as production based on how much is still in inventory (stock-on-hand), what is expected to be sold (forecast), what are the commitments yet to be fulfilled (customer orders), what is already ordered (Purchase Orders) and what is under production. In addition, BatchMaster automatically generates purchase/production orders based on demand, supply, and forecast. Mr. Gaundaur’s views on BatchMaster’s MPS/MRP are as follows: “Our Production guys now schedule on a daily basis; any changes in demand are reflected immediately, and the procurement guy instantly picks it up. That’s a significant improvement which was not possible earlier. Within a couple of hours, or even quicker, everyone knows exactly what has happened”.

Acquiring materials required for production is a crucial role in production management. Preventing material shortages while minimizing the company’s capital investment in inventory was a requirement of Newly Weds Foods for any well-designed ERP system. From evaluating the best vendor, ordering inventory, and receipting to generating vouchers, BatchMaster efficiently handled and streamlined their entire procurement process. In common with easy, on-time cost-effective purchasing, BatchMaster effectively ensured the supply of required materials to production, preventing any holdups in processing finished goods.

Sales

Revenue is the oxygen for Newly Weds Foods; hence, meeting the needs of the sales department was of utmost importance for Newly Weds Foods. Understanding the importance of sales for business, BatchMaster’s sales process exactly matches Newly Weds Foods’ sales strategy. Registering complete information right from processing customer orders and shipping to invoicing, customer services and complaints recording, customer requirements, emails, and requests, everything gets effectively handled and reflected across the system. BatchMaster brought consistency and clarity to Newly Weds Foods’ sales process.

Integration

While discussing their selection criteria, Mr. Marc Tremblay said, “Basically, software having all the modules integrated on one platform ensures timely and right communications among departments and ultimately helps running the business efficiently”, BatchMaster scored fully here also as it is fully integrated, information flows swiftly from one end to other in real-time ensuring transparency. As Mr. Gaundaur shared, “We need to address a lot of questions as an industry. Customers are expecting more information from us on products or where the sources of supply are. Again, it is linked; the whole supply chain is linked; information flows from one end to the other. That’s why we needed a system that is fully integrated all the way and easily provides information relaxing us from paper shuffling. With BatchMaster, all these get addressed”.

Financial Management

Adding icing on the cake, BatchMaster seamlessly integrates with Sage ACCPAC (Sage 300 ERP), making finance handling easier yet faster. With its logical approach, Newly Weds Foods was able to properly maintain and track every AP, AR, and GL for every transaction occurring in their business. With automatic and real-time updates, Newly Weds Foods has been able to organize their finances, allowing them to push their growth with confidence.

Sampling

Last but not least, Sampling – another process Newly Weds Foods needed to handle efficiently to improve their performance. Offering a brilliantly – designed Sampling tool, BatchMaster incorporates the striking feature of tracking every sample request, thereby minimizing the company’s losses by keeping a record of samples given to customers in any given time period. The sampling module maintains sample information such as anticipated sales volume, current price, target price, base formula key, and estimated time required to produce the sample. Complete recording of the number of revisions made in a particular sample request by a customer and all costs associated with that request, BatchMaster empowers Newly Weds Foods to perform R&D on the samples and design products by customer specifications. Along with viewing and storing all the documents related to a sampling request, BatchMaster keeps track of all communications with each customer regarding a sampling request. Emails can be sent directly to the customer without opening other email software.

Re-visiting the goals

Using BatchMaster, Newly Weds Foods now considers themselves ‘ahead of the pack’. Mr. Gaundaur feels that from a customer response perspective, they are now proactive. They can put all needed information in front of a customer and guarantee several services. Mr. Gaundaur exclaims, “This is an added advantage over our competitors, and it’s helping us a lot.” Newly Weds Foods has benefited in all areas of their operations with BatchMaster, but those benefits are summarized in customer satisfaction. They have gained immense customer confidence, helping them build better relations and, of course, increased business. “We are giving confidence to our customers that we don’t need large advance stock payments from them.”

Being empowered by BatchMaster at four group companies, they can now fully synchronize these centers with the complete elimination of operational gaps. As per Mr. Gaundaur “Even though our group companies belong to different cultures and BatchMaster comes from an entirely different culture, there were no issues; we have a very good working team and relations with BatchMaster. It’s now becoming much easier to work, helping us to achieve anew comfort level. I can now rely on my people to work with the BatchMaster team without my need to get involved.”

Under BatchMaster’s reliable and disciplined environment, Newly Weds Foods have come to be proficient enough to visualize their continuous and impressive growth. “We have plans in place; business would be growing with a certain pace. We needed a partner that would work with us as we grow. And, BatchMaster would now always be a part of the growth process” – Marc Tremblay.

In addition, quick implementation with out-of-the-box documentation and intensive training was another factor Newly Weds Foods were pleased with. Mr. Tremblay and BatchMaster share the same philosophy that successful implementation is not just great communication but also hard work from both sides. He believes, “Being there when you need them is important. Thanks to the BatchMaster team for always being there and doing the work needed, when it was needed!

The responsiveness, flexibility and the software and industry knowledge of the BatchMaster Team resulted in on-time and on-budget implementations not just at one, two, but all four companies in the Newly Weds Foods Asia-Pacific Group.

Reduced overall cost, improved efficiency, shortened lead-times, better customer satisfaction, continuous business expansion are just a few of the benefits Newly Weds Foods can count immediately on their fingers. Long story short, Newly Weds Foods is more than happy with the product and services granted by BatchMaster. Hand-in-hand we are walking to explore new opportunities for this group. Overwhelmed, Mr. Tremblay says: “The relationship is growing, confidence is growing and so the business is growing. We will continue this relation with BatchMaster for years to come.”

BatchMaster with SAP Business One
Today, consumers demand and enjoy a food supply that is flavorful, nutritious, safe, convenient, colorful, and affordable. The use of appropriate food additives/ingredients, coupled with technological advancements, help make that possible. The use of food ingredients in our food goes back many centuries. In the past, salt was used to preserve meat and fish, herbs and spices were added to improve flavor, and fruit was preserved with sugar. Many of those techniques are still in use today. There are literally thousands of food ingredients which are used in a variety of foods to maintain or improve safety, freshness, nutritional value, taste, texture, and appearance. Vitamins and minerals (and fiber) are added to many foods to makeup for those lacking in our diet or lost in processing or to enhance the nutritional quality of a food. Spices, natural and artificial flavors, and sweeteners are added to enhance food taste. Emulsifiers, stabilizers, and thickeners give foods the texture and consistency consumers expect. Leavening agents allow baked goods to rise during baking. Some additives help control the acidity and alkalinity of foods, while other ingredients help maintain the taste and appeal of foods with reduced fat content.
Cain Food Industries, Inc., founded in 1971, is based in Dallas, Texas. They produce and supply micro-dose ingredients for the wholesale and retail baking industries. They offer enzymes for baked goods and crackers; oxidation and bromate replacements; emulsifiers for tortillas, flatbread, pan bread, buns, and rolls; conditioners; and mold inhibitors for cakes, pies, and fillings. Many of these ingredients belong to a new category of “Clean Label Ingredients,” specially formulated to reduce the number of ingredients on food labels to make them more appealing to consumers. The “Clean Label” challenge is to replace artificial colors and additives(many of those ‘E’ numbers on labels) with natural ingredients. Cain Foods is a leader in this movement and is well known in the food industry for its superior quality, unique product line, and highly trained, experienced sales team receptive and responsive to customer problems. Their customers are wholesale and retail baking industries in the United States and other parts of the world, like Canada, Asia, and Africa.
Cain Food Industries, Inc. is an aggressive, technically oriented company emphasizing quality and customer service. Before acquiring BatchMaster Manufacturing for SAP Business One, they used Process-Pro to run their business operation. They often encountered problems in lot traceability, an essential requirement of their customers who need this information for regulatory compliance, recalled Tom McCurry, Exec. V.P. – Sales & Marketing. Due to the lack of availability of real-time information on inventory and finance, it was very difficult for them to assess their current status and make the best use of the available inventory. In addition, they had to spend considerable time in calculations for their formulas. Their formulas are based on the bioactivity of enzymes, one of their main raw materials, and its bioactivity, which varies from lot to lot. To remain competitive in the current challenging economic environment and to retain and expand its customer base, which demands food ingredients in compliance with regulatory requirements, Cain Foods decided to search for an affordable software solution that could satisfy these needs. After researching several available options, they found BatchMaster Manufacturing for SAP Business One to be the best option.

BatchMaster Manufacturing for SAP Business One was a fully integrated application with newer technology equipped with comprehensive reporting, batch tracking, and yield management functionality. Additionally, this ERP software provided trustworthy historical information they could count on and fulfilled FDA compliance requirements of traceability.

Implementation began on April 1, 2011, and was finished in four months. Cain Foods went live on August 1, 2011. After a very successful implementation and its use for 8-9 months, Tom McCurry said that he was pleasantly surprised with the swift implementation of not only BatchMaster Manufacturing for SAP Business One but also of the required customizations by the BatchMaster implementation team. He was highly appreciative of the proficient, professional, and cooperative attitude of BatchMaster’s personnel. He said BatchMaster, in addition to providing the expected solutions for which they purchased it, has offered outstanding features that are used by them daily to run their business. Specific features of BatchMaster Manufacturing for SAP Business One, which improved their business operation and had a positive financial impact, include:

Inventory

Formulation

Lot Strength

Manufacture

Real-time updates of raw material / intermediate material/intermediates / finished goods before and after manufacture has resulted in positive financial consequences and proactive decisions based on accurate information.

Quality Control

In summary, Tom McCurry concluded that they were completely satisfied with BatchMaster Manufacturing with SAP Business One and were looking forward to using its advanced features, such as Master Production Scheduling (MPS), Material Requirements Planning (MRP), business intelligence, and BatchMaster Data Collection for wireless tracking of inventory movements, to improve the way they manage their business even more

BatchMaster ERP is Helping Bar Bakers Grow Exponentially

Business is booming for Bar Bakers, a niche private label manufacturer in Los Alamitos, California, focusing on a variety of baked and cold process cookies, wafers, and nutritional bars and manufacturing for major retailers, large brands, and small companies. The company has blended its skilled leadership, premium R&D services, and BatchMaster ERP with SAP Business One together as, and BatchMaster ERP with SAP Business One , which is its main recipe for success. These elements are working together as Bar Bakers experiences exponential growth. Though the company is fairly new, there are over 200 years of combined managerial and engineering industry experience within Bar Bakers, and the team understood that BatchMaster ERP with SAP Business One would not only fit their requirements, it would be their ‘Icing on the Cake’ or in their case ‘Icing on the Bar’.

BatchMaster ERP Directs the Processes and Bar Bakers Reaps the Rewards

Christian Jones, Bar Baker Purchaser & ERP Administrator, shared that since the company was new they could align their operations with BatchMaster ERP from the start. “The entire flow of inventory, from work order and demand to purchasing, receiving, A/P, and material consumption, are all being managed within BatchMaster ERP. We are using BatchMaster’s Material Requirements Planning to its full extent with Purchasing using the demand calculated from the program.” Jones adds, “Inventory management is an area where we’ve experienced a big return on investment. We can keep a lower level inventory for most items due to our ability to see what the real demand is.”

Rapid Lot Number Traceability is a Crucial Benefit

“An absolutely crucial benefit that BatchMaster ERP provides is lot number traceability,” shared Jones, noting that Bar Bakers has major commitments to food safety and is currently working towards a BRC food safety certification. The system’s lot management capabilities will enable Bar Bakers to quickly and easily comply with BRC’s product traceability and lot recall codes. “We’ve found using BatchMaster for our mock recalls that we can respond to bidirectional lot traceability requirements in under 15 minutes, though the audit gives us 2 hours. And that includes all details of where finished goods were used and to whom they were shipped,” commented Jones.

Document Management Provides Organizational Transparency

“Another huge advantage to us is Document Management through out BatchMaster ERP,” Jones attested. “We didn’t realize at first how significantly BatchMaster ERP would deliver in this area,” Jones says one example of this would be that ingredient specifications are loaded into the solution, so anyone required to access this information can easily do that. He also mentioned that they scan hard copies of documents for all their transactions, such as Bills of Lading. “If there is ever any discrepancy, we can review all the documents for the transaction. BatchMaster ERP has provided transparency across the company,” Jones asserted.

Train the Trainer and Test Environment Speeds User Adoption

Bar Bakers’ commitment to learning the new ERP solution was demonstrated by having Jones become their in-house product expert. “I had excellent training from our BatchMaster ERP consulting team and the consultants transferred product knowledge with extensive training sessions,” shared Jones.

“In addition, we had a test environment set up for staff as they learned BatchMaster ERP. They could enter data into this environment, and I was available as the ‘company expert’ if they had questions. Though most of our staff were quick learners, it was a great setup as we were getting started with the system.”

Achieving Rapid Growth with BatchMaster ERP

Bar Bakers has been growing rapidly and expecting to add several new customers in the next few months. “As a private label manufacturer with a dedicated focus on product development, we’ve helped customers who were producing very small batches in their garage to now manufacturing half a million bars within a month. Without BatchMaster ERP, this would not be possible,” summarized Jones.

Diversified Foods and Seasonings Gets Help From BatchMaster Mfg as It Furthers Its Legacy of Flavor

Nearly 40 years ago, a taste sensation was born in Louisiana! Diversified Foods and Seasonings began preparing its patented chicken seasoning mix for one small restaurant. That one small restaurant would grow into Popeyes Louisiana Kitchen and become both a nationwide and worldwide success. Diversified Foods and Seasonings continues to manufacture and supply seasonings to Popeyes restaurants and has added other products and contract services for its clients. This growth and other external factors, propelled Diversified to upgrade their process manufacturing ERP software to BatchMaster Manufacturing for Dynamics GP . Diversified is looking to BatchMaster Manufacturing to carry them forward managing all facets of manufacturing and accounting today and for years to come.

Diversified Replaces PFW With Batchmaster

Diversified Foods recognized the importance of managing formulas, costs and inventory within an ERP solution and had worked with Sage PFW for many years. When Sage announced their plans to retire PFW, Diversified began to review replacement ERP solutions. “The announcement from Sage gave us an opportunity to evaluate our ERP product and begin the process of selecting a new solution that would include additional important functions,” shared David Fontenot, IT Director of Diversified Foods and Seasonings.

“We evaluated nearly 15 ERP systems during our review period and selected BatchMaster Manufacturing because it could fill every need we had.”

New Benefits Smooth the Way for System Adoption

“Working with a product for many years as we did with PFW, we found that there were other reasons to move to a new solution, independent of the product being retired. We had a substantial amount of old data in the system and there were several missing features in the older product as well,” stated Fontenot. The IT Director shared that some of the staff was a bit apprehensive about switching to a new ERP solution, but the transition was smooth due to similar main functions. Diversified went live with BatchMaster Manufacturing in March, 2015.“Our staff started seeing new benefits with BatchMaster Manufacturing right away, and this helped us all get on board quickly. If there was ever a question about data or a report within BatchMaster Manufacturing, we’ve found that the system has never been wrong. As far as trusting the new solution, BatchMaster Manufacturing is rock solid.” Fontenot says that just a few weeks ago, their Manufacturing Director ran a surprise product mock recall with all the plants. “The results of the mock recall along with the lot traceability in BatchMaster Manufacturing were far superior than it was in the Sage product,” attested Fontenot.

BatchMaster's Functionality Offers Big Advantages

Fontenot shared that Diversified was looking for some key advantages with BatchMaster Manufacturing. “We knew that BatchMaster Manufacturing would give us our return on investment due to the fact that it is designed for formula-based food manufacturing companies, but we were also looking for some specific functions,” stated Fontenot. Because food safety and quality at Diversified are recognized as having met or exceeded industry standards, Quality Control and Assurance within BatchMaster Manufacturing had to meet Diversified’s criteria. “Having quality-control tests and results fully integrated with production formulas and with lot tracked inventory items was a big advantage for us,” indicated Fontenot. “Another feature we needed was a Formula Approval process that assures that we ONLY use approved formulas in production and BatchMaster Manufacturing provides this.”

BatchMaster Manufacturing was also selected for its MRP/MPS integrated functionality. Diversified has both finished goods that are ordered consistently and those that are seasonal and less predictable. “We have started implementing the MRP functions and have seen how using MRP reporting along with integrated order scheduling can drastically reduce various manual processes,” expresses Fontenot. “We are phasing in this process now and seeing the benefits from this integrated method.”

Business as Usual Means Growth, Quality, and Customer Satisfaction

With three manufacturing plants located in Louisiana, Nebraska, and Alabama, Diversified Seasonings operates 24/7 to meet their product demand. In addition to manufacturing seasonings for Popeyes and its own Chefs Creations label, the company offers product development and production services to customers for a variety of food establishments, including casual dining, retail, club stores, quick service, and more. Fontenot says that as a contract manufacturer, Diversified combines talented chefs and food scientists who work with its customers to create their culinary vision. Its ‘Technology Culinary Center’ focuses on delivering state-of-the-art R&D and new product innovation aligned with today’s emerging consumer trends to support its customer’s culinary goals.

In the past year, Diversified continues to see strong company growth. “Updating to BatchMaster Manufacturing for Dynamics GP was a strategic move as we continue to operate around the clock to meet the needs of our customers,” shares Fontenot. “We’ve seen our company grow without having to add new staff. BatchMaster Manufacturing will continue to play a significant role in our continued growth,” shared Fontenot.
